The WhatsApp Business Platform is the version of WhatsApp built for shared inboxes, automated replies, notifications, and connections to business systems. For a South African business, the hard part is not getting a green tick. It is setting up permission, message templates, ownership, and human handoff so the channel remains useful.

Do you need the app or the platform?
The WhatsApp Business app suits one phone and a small team doing most work by hand. It provides a business profile, a catalogue, labels, quick replies, and basic organisation.
The WhatsApp Business Platform is for software-assisted messaging. Meta describes it as a platform for notifications, customer care, promotions, verification, commerce, and flows. Its official overview is the WhatsApp Business Platform page.
Choose the platform when more than one person needs the inbox, messages must connect to a booking or customer record, or routine questions should be handled before a person steps in. If one owner answers a manageable number of messages from one phone, the app may be enough.
What must be ready before setup?
Prepare these items before choosing a partner or connecting the number:
- A business portfolio you control. Ownership should sit with the business, not with an agency employee's personal account.
- Accurate contact details. Meta's policy requires a business profile with current customer support contact information.
- A phone number decision. Decide whether to move an existing WhatsApp number or use a separate number. Ask what happens to the current app history before moving anything.
- A privacy notice. Say what customer information is collected, why it is used, who handles it, and how a customer can ask for it to be removed.
- A clear owner for replies. Automation still needs a person who receives handoffs and deals with requests the rules do not cover.
Do not let a supplier own the number, account, or business portfolio on your behalf. Moving later becomes much harder when the core assets sit in somebody else's name.
When may you message a customer?
Meta's WhatsApp Business Messaging Policy says a business may contact somebody only after receiving the person's mobile number and permission to send later WhatsApp messages or calls. The business is responsible for how it gets that permission and for meeting local law.
The same policy requires businesses to honour requests to stop messaging. Keep a record of where permission came from and make opting out easy. A phone number on an invoice is not, by itself, permission to send promotions.
Write the permission around the actual messages you plan to send. Appointment updates, order notices, and marketing are different expectations. A customer who asked for a booking reminder should not be surprised by a weekly offer.
What is the 24-hour service window?
When a customer messages your business, Meta allows normal replies for 24 hours after the customer's latest message. Meta calls this the customer service window. Inside it, a person or an automated agent can answer without an approved message template.
Outside that window, a business-initiated message must use an approved template. Templates have a defined purpose and Meta can approve, pause, or reject them. This is why a follow-up process needs two paths: a normal reply while the window is open, and an approved template after it closes.
Do not write a template that pretends a conversation is still live. State why you are contacting the person and give them a clear next step.
What does the WhatsApp Business API cost?
There is no single South African monthly price. Your total can contain three parts:
- Meta's message charge, which depends on the message category and destination.
- A partner's platform fee or markup, if you use a partner.
- The software and support that manage replies, handoffs, records, and connected systems.
Meta links its current standard pricing from the Business Messaging Policy. Check that source and ask a supplier to separate Meta's charge from its own fee. A quote that bundles everything into one number is difficult to compare and difficult to audit later.
Ask whether inbound service replies, templates, media, number rental, and staff seats are included. Then price the categories you will actually use. A support inbox and a promotion campaign have different cost shapes.
Where should automation stop?
Meta permits automation in the 24-hour service window, but its policy also requires a prompt and direct escalation route. The listed options include a person in chat, a phone number, email, web support, an in-store visit, or a support form.
For a small business, automation should handle narrow, repeatable work:
- Trading hours and service areas.
- Approved prices or price ranges.
- Booking details and reminders.
- Collecting the details needed for a quote.
- Sending an existing document or status update.
A person should take over when a customer asks for one, when the request is sensitive, or when the approved information does not contain the answer. The agent should say it does not know and hand over. It should never fill the gap with a plausible answer.
What should you ask a WhatsApp supplier?
Ask these questions before connecting your number:
- Who owns the business account and phone number?
- Can the number move to another supplier later?
- How is permission recorded and an opt-out honoured?
- Which message categories will you use?
- What does Meta charge and what does the supplier charge?
- Where is customer information stored?
- Who can read conversations and recordings?
- What happens when automation cannot answer?
- Can you export conversation history and customer records?
